Bright Future Communications is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, how we use it and the rights you have. It applies to our website, our IT support and repair services, and our communications services, including telecoms, VoIP, business broadband, leased lines and mobile.

1. Who we are

Bright Future Communications Ltd (“we”, “us”, “our”) is a company registered in England and Wales under company number 12154158. Our registered address is Unit 9 Alfred Court, Saxon Business Park, Bromsgrove B60 4AD.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office (ICO) under registration number ZC259780.

2. Information we collect

Depending on how you deal with us, we may collect:

  • Contact details – your name, company name, job title, phone number, email address and postal address.
  • Enquiry information – anything you tell us when you contact us by phone, email, in person or through our website contact form.
  • Account and billing information – billing address, payment records, invoices and, where needed, bank details for Direct Debit.
  • Service information – installation and site addresses, line and number details, service usage, call records, equipment details and support history.
  • Device information – details of computers, servers and other equipment you ask us to repair, support or configure.
  • Website data – basic technical information such as your IP address and browser type, collected in our server logs and by the third-party services described in section 10.

We collect most of this information directly from you. Some may come from our network and wholesale suppliers (for example, line availability and service checks), from publicly available business sources, or from someone at your organisation who arranges services on your behalf.

3. How we use your information

We only use your personal information when the law allows us to. The table below shows the main ways we use it and the lawful basis we rely on.

4. Marketing

We may send business contacts occasional emails about our IT and communications services that we think may be of interest. We do this on the basis of our legitimate interests and in line with the Privacy and Electronic Communications Regulations (PECR). Where you are an individual customer or sole trader, we will only send marketing emails if you have agreed to receive them, or if you are an existing customer and the messages are about similar services.

Every marketing email includes an unsubscribe link, and you can opt out at any time by clicking it, emailing admin@bfcommunications.co.uk or calling us. We will never sell your information to anyone for their own marketing.

5. Who we share your information with

We only share your information where it's needed to provide our services, where you've asked us to, or where the law requires it. This may include:

  • Network and wholesale partners – carriers, network operators and suppliers who provide the phone lines, VoIP, broadband, leased line, full-fibre and mobile services we supply to you.
  • Technology providers – companies that provide our email, hosting, cloud, remote support and business software.
  • Hardware and software vendors – for example, for warranty claims or product registration.
  • Payment and finance providers – to process payments and Direct Debits.
  • Professional advisers – such as our accountants, insurers and legal advisers.
  • Authorities and regulators – such as the police, HMRC, Ofcom or emergency services, where we are legally required to.

Anyone we share your information with must keep it secure and only use it for the purpose we provided it for.

6. Data on your devices

When we repair, support, recover data from or configure your equipment, whether in our workshop, at your premises or through a remote support session, we may be able to see files and information stored on it. We only access what is necessary to complete the work, we treat everything we see as strictly confidential, and in this situation we act on your instructions as a data processor.

Remote support sessions only take place with your permission, and you can end a session at any time. Any copies of your data we make during a job, for example during data recovery or transfer, are securely deleted once the work is complete, unless you ask us to keep them.

We recommend you keep an up-to-date backup of important information before handing over any device.

7. International transfers

We store and process most information in the UK. Some of our technology providers may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or approved contractual clauses, so your information stays protected to UK standards.

8. How long we keep your information

We only keep personal information for as long as we need it. As a general guide:

  • Enquiries that don't lead to work are kept for up to 12 months.
  • Customer, contract and billing records are kept for up to 6 years after our relationship ends, to meet tax and legal requirements.
  • Marketing preferences are kept until you unsubscribe. After that, we keep a note that you've opted out so we don't contact you again.
  • Copies of device data are deleted once a job is complete, as described in section 6.

9. Keeping your information secure

As an IT business, we take security seriously. We use appropriate technical and organisational measures to protect your information, including access controls, secure passwords and multi-factor authentication, encryption where appropriate, secure storage of equipment in our workshop, and staff confidentiality. If a data breach ever affects your information, we will tell you and the ICO where we are required to.

10. Cookies & third-party services

Our website does not use advertising or analytics tracking cookies. We do use a small number of third-party services to make the site work, and these may collect limited technical information such as your IP address:

  • Google reCAPTCHA – protects our contact form from spam. Its use is subject to Google's Privacy Policy and Terms of Service.
  • Google Maps – shows our location on the website.
  • Google Fonts – displays the fonts used on our website.
  • ConnectWise ScreenConnect – our remote support tool, used only when you choose to start a remote support session with us.

You can control or block cookies through your browser settings. Blocking some third-party services may stop parts of the website, such as the contact form, from working properly.

11. Your rights

Under UK data protection law, you have the right to:

Where we rely on your consent, you can withdraw it at any time. To exercise any of these rights, contact us using the details below. There is normally no charge, and we will respond within one month.
